How to Collect School Fees Online in India (UPI, Cards, Netbanking) — Step by Step

A practical guide to online fee collection for Indian schools: payment gateways, transaction charges, reconciliation, receipts and getting parents to actually use it.

Parents already pay for everything else by UPI. When school fees still require a visit to the office with cash or a cheque, the school pays for it too — in queues at term start, cash-handling risk, cheque bounces and days of reconciliation. Here’s how online fee collection actually works for an Indian school, end to end.

The pieces involved

Three parts make online fee collection work:

  1. A payment gateway — the licensed service that moves money (Razorpay, Cashfree and similar). It accepts UPI, debit/credit cards and netbanking, and settles the money into the school’s bank account, usually in T+1/T+2 days.
  2. The school’s bank account and KYC — gateways onboard the school (or trust/society) with standard KYC documents: registration proof, PAN, bank details. This typically takes a few days.
  3. Something that tells the gateway how much each student owes — this is the part people underestimate. A bare payment link can accept money, but it can’t know that Aarav in 6B owes ₹8,500 minus a sibling concession, already paid ₹3,000 last month. That’s the ERP’s job.

What transaction charges look like

Gateways charge per transaction — typically 0% on UPI for education in many plans, and ~1–2% on cards/netbanking (rates vary by gateway and agreement; confirm current rates when onboarding). Schools handle this one of three ways: absorb it, add it as a convenience fee, or nudge parents toward UPI where charges are lowest. One thing to check with any software vendor: whether they add their own platform fee on top of the gateway’s. EducateSync doesn’t — you pay only the gateway’s actual charges.

Plenty of schools start with ad-hoc payment links or a bare gateway page. It works for a month, then:

  • Payments arrive that can’t be matched to a student (“who is ‘Rahul’s papa’ and which of the three Rahuls?”)

  • Receipts still have to be issued manually
  • The office ends up reconciling gateway settlements against a register — the exact work online payment was meant to remove

  • Show, don’t tell — a one-page WhatsApp-able graphic with three screenshots (login → see dues → pay) beats a circular.
  • Highlight the instant receipt — parents worry about proof of payment; the auto-receipt is the feature they end up loving.

Schools that switch typically see: term-start queues shrink dramatically, cash handling drops (and with it, risk), cheque-bounce follow-ups nearly disappear, and reconciliation goes from days to zero — because payments arrive pre-matched to students.
