How Much Does School Management Software Cost in India? Per-Student vs Flat Pricing Explained
Real price ranges for school ERP software in India, the per-student vs flat pricing trap, hidden costs (AMC, upgrades, training) and how to calculate true cost.
Ask five school ERP vendors for a price and you’ll get five incomparable answers: per student per month, per student per year, flat plans, one-time licences with AMCs, and “let’s discuss on call”. Here’s how to decode them — and what schools actually end up paying.
The two main pricing models
1. Per-student pricing
Typically ₹10–₹50 per student per month in India. Sounds tiny — but multiply: a 600-student school at ₹25/student/month pays ₹1,80,000/year. And the structural problem: your bill grows every admission season. The vendor is rewarded for your growth, and you can’t predict next year’s cost. Some vendors also count alumni and left students in the billing count until you formally purge them — read that clause.
2. Flat plan pricing
A fixed monthly/yearly price by school size band, typically ₹2,000–₹10,000/month depending on the plan and modules. The break-even maths
A quick rule of thumb: at ₹25/student/month, per-student pricing overtakes a ₹4,999 flat plan at just 200 students. Above that, every admission makes flat pricing relatively cheaper.

The hidden costs that don’t appear in the quote
The subscription is only part of the bill. Ask every vendor about these:
- Implementation / setup fee — one-time, ₹10,000–₹1,00,000+. Ask what it includes; data entry of your existing students is the expensive part.
- AMC (Annual Maintenance Contract) — common with older, self-hosted ERPs: 15–25% of licence cost, every year, or support stops.
- Version upgrades — legacy vendors charge for major versions. Cloud products should update free and automatically; confirm it in writing.
- Server & IT costs — self-hosted systems need a server, UPS, backups and someone to babysit them. Cloud ERPs need a browser. This alone often decides the comparison.
- Training — is staff training included, or per-session?
- Payment gateway charges — for online fee collection, the gateway (Razorpay, Cashfree etc.) charges a transaction fee (~1–2%). That’s a gateway charge, not the ERP’s — but check whether the ERP adds its own cut on top. EducateSync doesn’t.

What a school should actually budget
For a modern cloud ERP, all-in, most Indian schools land between ₹36,000 and ₹1,20,000 per year depending on size — with flat-plan products at the lower, predictable end. Questions that expose a bad deal
Take these to every sales call:
- Is pricing per student or flat? What will we pay at +100 students?
- What’s the total first-year cost — setup, training, migration, everything?
- Is there an AMC? Are upgrades chargeable?
- Are all modules included, or priced separately?
- Is it cloud-hosted, or do we need a server?
- Does online fee collection carry any extra platform fee beyond the gateway?
- What happens to our data if we leave? (Export should be free and complete.)
