How to Switch from Your Old School ERP Without Losing Data (Migration Checklist)
A step-by-step migration checklist for schools changing ERP: exporting your data, what to move vs archive, parallel running, timing, and staff onboarding.
The number one reason schools stay on an ERP they dislike is not the money — it’s the fear of migration. “All our data is in there. Switching means re-entering everything and months of chaos.” Understandable, and almost always wrong. Done in the right order, a school ERP migration takes days, not months. Here’s the order.
Step 0: Get your data out — before you commit to anything
Your first move isn’t choosing new software; it’s confirming you can export from the old one. In your current ERP look for export/download options (usually Excel or CSV) for:
- Students — profiles, guardians, contact numbers, admission numbers, class/section
- Fee records — structures, payments made, pending balances
- Staff/teacher records
- Historical marks and attendance (if you want them — see Step 2)
If your vendor makes exporting difficult or chargeable, that tells you everything about why you’re leaving — and note this for the future: any new vendor should confirm in writing that your data exports free and complete whenever you want. (It’s question #7 in our vendor questions checklist.)
Step 1: Clean while you’re at it
Migration is the one natural moment to fix years of accumulated mess. Before importing anywhere, spend a session on the exported sheets:
- Remove students who left years ago but were never marked out
- Fix duplicate records and inconsistent name spellings
- Verify guardian phone numbers (these power the parent app — they matter now)
- Reconcile pending fee balances now, so disputes don’t get imported
Dirty data in the old system becomes clean data in the new one only here.
Step 2: Decide what moves and what gets archived
Not everything should migrate. The practical split most schools use:
- Move: all current students and staff, current-year fee structures and balances, class/section structure
- Archive (keep as exported files, don’t import): old marks, old attendance, records of departed students — you rarely query them, and a saved Excel archive satisfies audits
Trying to migrate ten years of attendance history is what turns a two-day migration into a two-month project, for data nobody will open.
Step 3: Time it to a natural boundary
The best switch dates are the start of the academic year (cleanest — new session begins in the new system) or the start of a term. Mid-term switches work too, as long as fee balances are reconciled on a clear cut-off date: everything up to date X in the old records, everything after in the new.
Step 4: Import — this should be the vendor’s job

Step 5: Run parallel for two weeks — no longer
Keep the old system read-only (or just the exported files) for reference, and do all new work in the new system from day one. Two weeks of parallel comfort is healthy; months of double entry is how migrations die. Set an explicit end date.
Step 6: Onboard people in the right order
- Office/back office first — fees and receipts are daily work; they’ll find any data issue within days
- Teachers next — attendance and marks entry (one short session; if it needs more than that, the software is the problem)
- Parents last — announce the parent app with the first fee reminder or result publication, when they have a reason to log in
The checklist
- ☐ Export everything from the old ERP (students, fees, staff)
- ☐ Clean the data: departed students, duplicates, phone numbers, fee balances
- ☐ Decide: migrate current data, archive history
- ☐ Pick a term/year boundary and a fee cut-off date
- ☐ Bulk import (or have the vendor do it)
- ☐ Two weeks parallel, hard end date
- ☐ Office → teachers → parents, in that order
- ☐ Get “free full export anytime” in writing from the new vendor
