How to Choose the Best School Management Software: 10 Questions to Ask Before You Buy
A buying checklist for school ERP: the 10 questions that separate good school management software from regret — pricing, hosting, modules, support, data ownership.
Every school management software demo looks good. The dashboards are clean, the salesperson is smooth, and every question gets “yes, we have that.” Schools don’t usually choose bad software — they choose software whose problems only show up in month four. These ten questions surface those problems in the demo, while you can still walk away.
1. Is the pricing per student or flat — and what do we pay next year?
Per-student pricing (₹10–50/student/month) grows every admission season; flat plans stay put. Ask for the exact figure at your current strength and at +100 students, in writing. 2. What’s the total first-year cost?
Subscription + setup fee + data migration + training + AMC + any per-module charges. Some quotes triple once the “optional” lines are added. Get one all-in number.
3. Cloud-hosted, or do we need a server?
Self-hosted means a machine in the school, backups you manage, an IT person on call, and chargeable version upgrades. Cloud means opening a browser while the vendor handles servers, backups, security and updates. For almost every school, cloud is the right answer — but confirm updates are free and automatic, in writing.
4. Are all the modules we need actually included?
List your real needs — typically students, fees with online payment, attendance, timetable, exams/report cards, certificates, parent app, library, transport — and ask which are in the quoted price versus “available” (meaning: extra). 5. Does everyone get their own role-based login?
Admin, teacher, parent/student, back office, librarian — each should see exactly their own work, no more. Ask to see the teacher’s view and the parent’s view in the demo, not just the admin dashboard that demos are built around. Bonus: ask about audit logs — who changed what, when.
6. How does online fee payment work — and who takes a cut?
UPI/cards/netbanking through a proper gateway (Razorpay, Cashfree), with the payment auto-matched to the student and a receipt generated instantly. Ask specifically whether the vendor adds a platform fee on top of gateway charges — some do, silently. (How online fee collection should work.)
7. How does our data get in — and how does it get out?
In: bulk CSV import of your existing students, ideally done by the vendor (the full migration checklist). Out: a free, complete export of your data whenever you ask. A vendor who hesitates on the export question is planning to hold your data hostage at renewal time. Get it in writing.
8. What does support actually look like?
Not “do you have support” — everyone says yes. Ask: what channels (phone? WhatsApp? or tickets only?), what response time, is it included or chargeable, and is onboarding/training included? Then verify with question 10.
9. Will it work on the devices we actually have?
Teachers will mark attendance on their phones; parents will do everything on theirs. The system should be fully usable on a mid-range Android phone and an aging office computer — test both in the demo. No special hardware, no installs.
10. Can we talk to two schools like ours?
Not testimonial quotes — phone numbers of real schools of similar size, at least a year in. Ask them three things: how migration actually went, what support is like after the sale, and what surprised them. Ten minutes on the phone with a reference beats an hour of demos.
Scoring it
Take this list into every demo and insist on written answers to 1, 2, 3 and 7 — pricing trajectory, total cost, free updates, free data export. Those four are where regret hides. A vendor comfortable answering all ten crisply is a vendor comfortable being compared, which is itself the best sign.
